API connection for suppliers with their own warehouse

API connection for suppliers with their own warehouse

🔗 Why do we recommend that providers connect to Dropea via API?

If you manage your products and stock from your own warehouse, we recommend connecting your system to Dropea via an API .

This integration, provided you connect and send us the information, allows you to automatically synchronize the available stock between Dropea and your warehouse, avoiding manual updates, out-of-stock orders, and operational errors.

💡 In short:
If you connect via API and send us the information, we will be able to see at all times how many units you actually have available for each product and variant.
If you only log in to create products or receive orders, we won't be able to keep the information synchronized.

📌 Which suppliers does this recommendation apply to?

This recommendation is directed exclusively to suppliers who:

  • They manage the stock from their own warehouse or storage facility.
  • They prepare and ship orders directly.
  • They sell their products through dropshipping and possibly through other channels as well.
⚠️ Important:
This information does not apply to suppliers who work with Fulfill by dropea .
When merchandise is stored in a drop warehouse, our team directly controls the entries, exits, counts, and available units.

📦 Updated stock control

By connecting your system via API, your product stock is automatically synchronized with Dropea.

This allows us to keep the availability of:

  • 📦 All your products.
  • 🔢 Available units.
  • 🎨 The different variations.
  • 📏 Sizes, colors, models or other characteristics.

This way, when a sale occurs, the stock is updated without your team needing to manually modify each product within Dropea.

🚫 Avoid ordering out-of-stock products

One of the main advantages of integration is to prevent orders from being placed for products that are no longer available.

📋 Practical example:

A supplier has 500 units of a product and shows them as available for dropshipping.
If you subsequently sell all those units from your physical store, Mercado Libre, Amazon, or another channel, but do not manually update the stock in Dropea, the platform will continue to show the 500 units as available.
As a result, new orders may come in that the supplier will not be able to prepare or ship.

With an API connection, when those units are sold through another channel, the stock is automatically updated and the product is no longer available on Dropea.

🛒 Stock management across multiple sales channels

API integration is especially important for suppliers who sell their products through different platforms, such as:

  • Free market.
  • Amazon.
  • Falabella.
  • Own online stores.
  • Physical stores.
  • Other marketplaces or sales channels.

By centralizing inventory information, all platforms operate on up-to-date availability.

🔄 Synchronization example:
If you sell the last units of a product on Mercado Libre, the system can automatically update its availability in Dropea to prevent new out-of-stock sales.

⚙️ Operational benefits

API integration allows for the automation of much of the daily inventory management.

  • ⏱️ Reduces the time spent manually updating stock.
  • 📉 Reduces human error.
  • 📦 Avoid selling units that are no longer available.
  • 🚚 Reduces delays in preparation and dispatch.
  • 🔄 It keeps the different sales channels synchronized.
  • 👥 Reduces the workload of the operational team.

💰 Economic benefits

Proper stock synchronization also helps to avoid costs arising from orders that cannot be prepared.

If an order is dropped because the product is listed as available, but the supplier actually does not have it in stock, the order cannot be shipped on time.

🚨 Risk of not keeping stock updated:
Keeping stock up to date is essential. A lack of available units can lead to cancellations, operational delays, and financial compensation for dropshippers (*) for orders that cannot be prepared or shipped correctly.
(*) Such compensation will be the responsibility of the supplier and will be at their expense.

The API connection reduces this risk because the units are no longer available on Dropea when they are sold or discounted from another channel.

🤝 Benefits for dropshippers

Keeping inventory synchronized not only benefits the supplier, but also improves the experience for dropshippers who market their products.

  • They can work with more reliable stock information.
  • They avoid selling products that cannot be shipped.
  • They reduce cancellations and delays.
  • They protect the experience of their end customers.
  • They can scale campaigns more securely.

🧩 What system do I need to connect?

To perform the integration, we recommend having a warehouse, inventory or order management system, such as a WMS , an ERP or a similar solution that allows connection via API.

If you don't currently have such a system, you can use a tool likeOdoo to manage products, stock, and inventory movements.

⚠️ Please note:
The availability and scope of the integration will depend on the system you use and the functionalities that its API allows.
